Remote Fit Privacy Notice
Effective date: October 26, 2026. Version: remote-fit-privacy-v1.
This notice explains how That Glasses Guy (“TGG”, “we”, “us”), PMB-118, 2700 Broad St Ste 136, Chattanooga, TN 37408, collects and uses information through Remote Fit by TGG, our online service for measuring where your lenses should sit using photos you take on your phone. It adds to our store privacy policy, which covers shopping with us. Where the two differ for Remote Fit, this notice applies.
What Remote Fit collects
From you, when you complete a fitting
- Your photos. Two straight-on photos of you wearing glasses (one looking at something far away, one looking into the camera), and, if you choose, a photo from each side.
- Photo details. Image size and type, and the camera details your phone saves with the photo: phone make and model, lens and focal length, and, on iPhones, how the phone was tilted at the moment the photo was taken. We use these to refuse wide-angle photos, which distort measurements, to compare accuracy between phones, and to check the angle the photo was taken from. We do not keep location, serial numbers or other device identifiers.
- Frame details. The size printed on the glasses you wear in the photos (eye size and bridge) and, if you give it, the brand and style.
- Your choices. Which permissions you gave, when, and the version of the wording you saw.
- Link activity. When you opened your fitting link and when you sent your photos.
Created by our opticians and systems
- Measurements. The points an optician places on your photos and the measurements worked out from them, such as pupillary distance (for distance and reading), fitting heights and frame dimensions, and the values approved for your lenses.
- Review notes. Notes an optician records about your fit (for example, how your frame should be adjusted), and any message they send asking for new photos.
- Automated check results. If automated tools are used (see below), the points they suggest and the photo-quality findings they report.
- A record of every action. Who opened, changed, approved or deleted anything, and when.
From your order
- The order and the pair of lenses the fitting belongs to, and the frame name. When we send you an email about your fitting, we read your email address from your order at that moment; Remote Fit does not keep its own copy.
- Remote Fit does not read or store your prescription. Prescriptions are collected separately at checkout.
Accuracy test fittings
If you take part in an accuracy test (by invitation only), we also record the measurements an optician takes from you in person and, if you provide it, the prescription of the glasses you wear in the photos, so we can compare them with Remote Fit’s results. This information is seen only by our staff.
Practice staff
For staff who sign in to Remote Fit, we keep their name, email address, roles, optician licence number if given, a link to the account they sign in with, and a record of their activity and access changes.
How we use it
- To measure where your lenses should sit, have a licensed optician review and approve every result, and make your lenses with those values.
- To ask you for new photos or contact you if something needs confirming.
- To send you your fitting link and reminders until your photos are sent.
- With your permission only: to keep your approved measurements for future orders; to check our accuracy by comparing your fitting with the result in person or when you wear your glasses; and to improve our measuring tools.
- To keep the service secure, investigate problems and meet legal obligations.
We never use your photos for face recognition or to identify you, for advertising, or for anything unrelated to fitting glasses. We do not sell your information or share it for advertising.
Automated tools and AI
Software may suggest where the measurement points go, and an AI model may check your photos for problems such as a tilted head, glare or a frame out of view. The AI model is Google’s Gemini, run through Google Cloud Vertex AI inside TGG’s own Google Cloud account in the United States. It receives the photo only, with the camera details removed and without your name, order or measurements, and it is not used to identify you. These tools only make suggestions: a TGG optician reviews and decides every measurement.
Who we share it with
- Google Cloud hosts Remote Fit, stores photos and records in the United States, provides staff sign-in and runs the AI check, as our service provider.
- Shopify receives your fitting’s status and the approved values needed to make your lenses, saved on your order. No photos or measurement points are sent to Shopify.
- Omnisend sends your fitting emails. It receives your order name, frame names, your fitting links and any note your optician wrote asking for new photos. No photos, measurements or prescription.
- The lab that makes your lenses receives the approved values needed to make them, as part of your order.
- Others where the law requires it, or to protect rights and safety.
How long we keep it
Each photo has a deletion deadline that moves as your fitting progresses. An automatic job deletes photos past their deadline every hour.
| Situation | Photos deleted |
|---|---|
| Photos taken but never sent to us | 7 days after upload |
| Sent for review | 45 days after sending, if still unresolved |
| Measurements approved by the optician | 30 days after approval |
| Fitting closed (for example, the order was cancelled) | 7 days after closing |
| You replace or remove a photo | Immediately |
| You ask us to delete your information | Immediately |
Approved measurements, your permission choices and the record of who did what are kept as the record of the lenses we made, for as long as we need them to support those lenses and to meet our legal and record-keeping obligations. If you allowed us to keep measurements for future orders, they stay on your fit profile until you ask us to remove them. Staff records are kept while the person has access and afterwards only as long as needed for security and record-keeping.
How we protect it
- Photos go straight from your phone to private, encrypted storage using a single-use upload link. They are never public, and there are no public web addresses for them.
- Your fitting link contains a secret key. Our pages tell browsers not to cache them or pass the link on.
- Staff sign in with individual accounts, see only their own practice’s fittings, and every action is logged. Only opticians can approve measurements.
Your choices and rights
- You can withdraw any optional permission, ask to see the information we hold about your fitting, or ask us to delete it, by emailing info@thatglassesguy.shop. We will respond within 45 days. Deleting your photos before your fitting is approved means we will need new photos or an in-person fitting to make your lenses.
- Requests made through Shopify’s customer privacy tools reach Remote Fit automatically.
- Depending on where you live, you may have additional privacy rights under your state’s law. Contact us at the address above to use them.
Children
Please only send photos of yourself. If you are fitting glasses for someone under 18, a parent or guardian must complete the fitting with them.
Where your information is processed
Remote Fit stores and processes your information in the United States.
Changes to this notice
We will update the effective date and version above when this notice changes, and tell you before any change that affects how your photos are used.
